As the Global People Operations Specialist, you will lead the operational backbone of LoopMe’s People function, through the optimisation and delivery of HR operations across all regions. This role ensures consistent, compliant, and efficient HR processes globally including employee data management, HR systems, payroll coordination, compliance, reporting, and process governance.
You will collaborate closely with People Partners, Finance, Legal, and our EoR partners, acting as the subject matter expert on HR operations, systems governance, and lifecycle workflow design. Additionally, you will play a key role in supporting the development and enabling the success of the People Operations Coordinator, ensuring alignment, knowledge transfer, and operational continuity as the function matures.
What you’ll be doing:
HR Service Delivery
- Lead the HR Service Desk to ensure global queries are triaged and resolved in line with established SLAs and service standards.
- Monitor service performance metrics and quarterly trends, presenting insights and recommendations to HR leadership.
- Maintain and continuously improve SOPs, process documentation, and workflow standardization.
- Support colleagues in resolving complex, sensitive, or cross-regional People Operations issues to maintain a high-quality employee experience.
- Partner with regional People Business Partners to align practices while accommodating local legal and cultural requirements
HRIS & Systems Ownership (HiBob)
- Own the day-to-day management and optimisation of the HRIS (HiBob), ensuring data accuracy and efficient system use.
- Manage system implementations, upgrades, and process enhancements.
- Generate and maintain HR analytics, dashboards, and reports to support data-driven decision-making.
- Participate in quarterly check-ins with HiBob’s Customer Success Manager to review new features and improvement opportunities.
- Support HRIS contract renewals and system-related documentation in partnership with Finance and the People Team.
- Coordinate and maintain HiBob training materials, documentation, and communication to promote system adoption and consistency.
Support the setup and coordination of performance and compensation cycles in HiBob:
- Configure timelines, templates, permissions, and workflows.
- Provide guidance and system support to managers and employees.
- Troubleshoot issues and escalate technical bugs when necessary.
Ensure configurations align with current policies and compensation frameworks.
Benefits Support
- Support the People Business Partner with administration of benefits.
- Assist with global benefit renewals and initiatives, providing administrative or project support as required across the People team.
- Support ad hoc benefits-related projects to improve the employee value proposition and overall employee experience.
Compliance & Risk Management
- Support global employment law compliance and mandatory training tracking.
- Collaborate with Legal, Finance, and Audit teams to address HR operational risks.
- Assist with audits, policy reviews, and cross-border compliance initiatives.
Employee Lifecycle & Experience
- Support key HR lifecycle processes including onboarding, offboarding, internal mobility, data changes, and benefits administration in partnership with the People Operations Coordinator.
- Partner with People Business Partners to enhance the employee experience through efficient and consistent service delivery.
- Manage the relationship with EoR providers (e.g., Oyster, HR One) to ensure service levels are maintained, and escalate issues to ensure timely resolution.
- Identify opportunities for process automation and self-service improvements.
Reporting & Analytics
- Maintain and deliver HR metrics with a focus on data accuracy and consistency.
- Support the preparation of reports and insights for People Business Partners and senior stakeholders.
Team & Leadership Support
- Support the development, onboarding, and operational readiness of the People Operations Coordinator, including:
- Sharing system knowledge and administrative expertise.
- Co-owning process transitions and documentation.
- Providing service continuity during holiday or periods of absence
- Collaborating on prioritization, workload planning, and operational improvements.
- Foster strong collaboration with People Business Partners and cross-functional stakeholders.
Contribute to a culture of accountability, continuous improvement, and excellent service delivery across the People Team.
Essential Skills & Experience
- Extensive, hands-on experience configuring, administering, and optimizing HiBob (workflows, lifecycle management, reporting, permissions, automations).
- Strong knowledge of global HR operations, employment lifecycle processes, and data governance.
- Experience working in a distributed, multi-jurisdiction environment; familiarity with EoR arrangements is beneficial.
- Skilled in analyzing data, spotting trends, and translating insights into operational improvements.
- Meticulous attention to detail and comfort managing multiple time-sensitive priorities.
- Strong communication and stakeholder management skills across different time zones and cultures.
