Legal & Company Secretarial Associate
The role is expected to provide administrative and secretarial support for the Legal Department and Corporate Affairs and Communications Department, managing documentation, budgets, meetings, and corporate secretarial matters. It also supports legal training, dispute management, and cross-functional collaboration, with additional responsibilities for team oversight and ad hoc projects as needed.
As the Legal & Company Secretarial Associate under the area of Legal, you will:
Provide administrative and confidential secretarial support to ensure smooth operations of the Legal Department and its projects.
Manage external legal counsel, service providers, purchase requisitions, budgets, and payments.
Serve as focal point for corporate secretarial matters, including statutory filings, records management, and drafting resolutions.
Support creation and dissemination of legal training materials and manage legal platforms (SharePoint, DocuSign, CLM, etc.).
Handle dispute management tasks such as documentation, court schedules, and coordination with external counsel.
Collaborate with Corporate Affairs, Communications, and Compliance teams to enhance cross-functional efficiency.
Oversee team development and handle ad hoc tasks or projects as assigned
Requirements:
Diploma in Secretarialship, Business Management, or Administration.
2–4 years of experience as an associate or secretary supporting senior management.
Candidates with paralegal certification or experience working in a law firm will have an added advantage.
Experience in company secretarial or administrative roles is preferred.
Fluent and well-spoken in English and Bahasa Malaysia, with proficiency in MS Office and SAP.
Strong interpersonal, communication, and organizational skills; able to manage multiple priorities with confidentiality and attention to detail.
Knowledgeable in SAP processes, particularly in creating PRs, IOs, and MIGO/GRIR to support efficient departmental workflows.
