We are looking for a detail-oriented and people-focused Sr. HR Operations Specialist to support our Ukraine team. This role combines employment compliance expertise, HR operations management, and employee experience initiatives. You will ensure adherence to Ukrainian labor laws, handle HR processes and data, and contribute to building a supportive and engaging workplace environment.
Employment Compliance & Documentation (employment in Ukraine)
Run employment lifecycle processes (hiring, terminations, transfers, salary changes) in compliance with Ukrainian labor law, including preparing and signing all necessary documentation.
Ensure compliance with labor laws regarding sick leave, vacation, absences, and working time documentation.
Prepare and submit recurring and ad hoc reports to governmental authorities as required.
Monitor Ukrainian labor legislation and employment requirements, providing timely updates to stakeholders.
Provide official work certificates and employment-related documents to employees upon request.
Oversee and maintain all personnel-related data in the HRIS, ensuring accurate employee profiles and records.
Generate regular HR reports and analytics for stakeholders.
Coordinate with the payroll team on salary, bonus, allowance, and contractor payments.
Manage documentation and data changes related to employees and contractors.
Own HR policies for Ukraine, ensuring they are clear, compliant, current, and people-centric.
Coordinate onboarding processes, including HRIS setup, NDA signing, and equipment arrangements.
Support employees with HR and employment-related inquiries, providing guidance and ensuring a positive experience.
Plan, organize, and deliver team events (team buildings, cultural celebrations, off-sites, and holiday parties) to strengthen engagement and foster a positive company culture.
Manage and support employee benefits programs, including the English language learning initiative.
Ensure timely communication of important updates and HR information to the Ukraine team.
Manage relationships with coworking providers and suppliers to ensure smooth service delivery and effective issue resolution.
Coordinate logistics for events, including venue booking, catering, vendor negotiations, and budget management.
Order merchandise and gifts for employees.

3+ years of experience in HR operations, HR generalist, or employment compliance roles.
Strong knowledge of Ukrainian labor law and practical experience applying it to employment processes.
Proven ability to prepare and handle official HR and government reporting documents.
Experience coordinating with payroll on salaries, bonuses, allowances, and contractor payments.
Proficiency in Google Workspace (Docs, Sheets, Slides, Drive) for reporting, documentation, and collaboration.
Experience using AI-powered tools (e.g., for document drafting, data analysis, or process automation) to improve HR efficiency.
Hands-on experience with HR Information System (preferably SuccessFactors) and accounting/payroll tools.
Familiarity with vendor management and event logistics is a plus.
