The British Embassy Office Lviv is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for an Administrative and Logistics Assistant. The Embassy adopts a model of integrated delivery, whereby staff from different teams work closely together to deliver HMG objectives in-country.
Main purposes of the job:
The job holder will work in the Corporate Services Department and help provide full-cycle support to all the departments of the Post, ensuring its smooth operation. They will provide a range of administrative support on day-to-day office operations in British Embassy Office Lviv.
Roles and responsibilities:
Be the main point of contact between British Embassy Office Lviv (BEOL) premises owner and BEOL;Deal with incoming and outgoing mail for British Embassy Office Lviv;Manage office stationery and IT office consumables. Ensuring that orders are placed in good time and maintain value for money and procurement rules;Post Health & Safety and Security Assistant (documentation, notices, posters, etc), and making sure key security, health and safety checks are carried out with support from BE Kyiv Post Security Manager and wider Corporate Services team in British Embassy Kyiv;Manage tea, coffee, and snacks when guests visit the BEOL;Providing leave cover and support for other BEOL functions (including Political support officer), and Corporate Services tasks in Kyiv as needed; Ad hoc admin tasks;Occasional travel to Kyiv. Essential qualifications, skills and experienceEssential on arrival:
Excellent communication skills with written and spoken fluency in English and Ukrainian at C1 level (according to CEFR* or equivalent);Experience in a similar position of at least 1 year (e.g. receptionist, personal assistant, secretary, administrative support or similar);Good IT literacy, particularly with Microsoft 365 package;Experience in coordinating travel and accommodation arrangements for executives and staff, including booking flights, hotels, and transportation, as part of a broader role in administrative support.Analytical skills and strong attention to detail;Ability to work both autonomously and as part of a team;Show great resilience when working under pressure. Staff recruited locally by the British Embassy in Kyiv is subject to Terms and Conditions of Service according to local Ukrainian employment law.
This is an official employment, and the salary is subject to official tax, currently 23%. The salary is a set rate and there are no additional allowances on top.
