Front Desk Support
Position Purpose:
We are seeking an experienced Front Desk Support who will be responsible for providing first-class service to both internal and external customers covering the areas of Reception, EHS and General Services, and various additional duties to support the wider P&C Function. This role is the SAP requisitioner and contact for all of the above areas, ensuring all purchasing transactions are conducted in line with Purchasing policies and guidelines. Key elements of the role will be the ability to work flexibly and multi-task, liaise with a number of functions/departments, work under own initiative, develop strong working relationships, and communicate effectively. The role is office-based Monday-Thursday with a need for flexibility on Fridays, depending on business needs.
What will you do – responsibilities:
Post, courier & delivery services; onsite catering needs and lunch program; visitor management in line with internal security policy; administration of the access control and desk reservation systems; ordering office and kitchen supplie in line with budget and internal sustainability guidelinesSupport EHS & General Services Manager in matters such as ongoing office projects; coordinating delivery of planned preventative maintenance/repair work & gathering/filing of reports; on-site liaising with suppliers, e.g. plant maintenance, pest control, etc., general office enquiries and issue resolution; administration of lockers; administration of office & document storage units, key administration, etc.Support EHS & General Services Manager in matters relating to health, safety, and well-being such as coordinating events, seminars, training (eg manual handling, ergonomics, first aid, etc.), and other initiatives; maintenance of fire register; daily checks of emergency exits & routes; monthly checking of first aid, burn kits and re-supply thereof; ordering work-from-home furniture; etc.Sole responsibility as SAP requisitioner for accounts for the EHS & General Services and P&C functions, ensuring vendors are created as needed in line with the Company's purchasing terms and conditions, purchase orders are raised and communicated, and that invoices are correctly goods receipted in line with PPO policies and guidelines; point of contact for any PO and/or invoice-related queries both internal and externalSupport for new employees: office orientation, desk reservation system, lunch ordering system, locker set-up, emergency exit & assembly point familiarisation and assist with induction scheduling Demonstrate flexibility and adaptability to successfully manage the reception area, facilities coordination and general support for the P&C function. This may include tasks outside normal areas of responsibilityWho are we looking for – requirements:
Leaving Certificate or equivalent qualification is essentialMinimum of three years experience of working in a busy receptionist and support functionExcellent PC skills (MS Office, particularly Word, Excel and PowerPoint)Previous experience using SAP advantageous Good organisation skills and attention to detail are essentialFluent English is essential.What are the next steps – Recruitment Process:
