This is a coordination and operational support role focused on journey management, logistics, and daily operational control, not a business operations or managerial position.
The role provides operational, logistics, administrative, and journey‑management support to ensure safe, efficient, and compliant day‑to‑day programme delivery.
It supports the Operations Manager by monitoring communications, maintaining situational awareness, coordinating journey management, and ensuring accurate operational documentation.
It also contributes to smooth office operations through administrative coordination, asset tracking, procurement support, and upkeep of office systems and supplies. The role operates within established security, logistics, and governance frameworks.
Requirements
Journey Management & Operational Support
- Monitor Operations Room communications to maintain continuous situational awareness.
- Track project crews and staff via GPS and other systems to ensure safe movement.
- Convert security risk assessments into Journey Management Plans (JMPs) and ensure compliance
- Oversee mobile asset movements in line with JM protocols.
- Act as secondary duty officer for threat‑related messaging.
- Maintain accurate operational records, including logs, plans, deviations, and asset registers.
- Monitor open‑source and social‑media reporting for emerging risks.
- Escalate time‑sensitive threats and disruptions to operations.
- Support incident management and coordinate response actions in real time.
- Respond to emergency calls from remote or field teams in line with procedures.
- Ensure compliance with organisational security and logistics procedures.
- Maintain up‑to‑date documentation and records across shared platforms.
- Coordinate logistics for workshops, stakeholder engagements, and training events
- Maintain a well‑organised, efficient, and professional office environment.
- Oversee office supplies, equipment, procurement, and inventory.
- Track and manage routine office expenses.
- Ensure office equipment functionality and arrange repairs when required.
- Maintain office asset records in line with safety and organisational standards.
About You:
- Proven experience in Journey Management within security-focused projects of similar scope and complexity.
- Native or fluent Ukrainian language skills, with at least intermediate (B1–B2) level English for professional communication and reporting.
- Strong understanding of journey planning, operational logging, incident reporting, and field team coordination.
- Ability to remain calm and decisive under pressure, particularly in emergency or high-stress environments.
- Proficiency in using tracking systems, radio communications, and digital mapping tools.
- Familiarity with monitoring tools and threat assessment practices.
