The Kyiv Office team is growing, and you will play a critical role in rebuilding our Kyiv Office. Our firm security team is dedicated to supporting our colleagues and has the privilege of seeing our impact on a regular basis.
Our firm security team is incredibly diverse, with a true global footprint, operating in almost every time zone globally. In this role, you’ll have the opportunity of collaborating closely with this global team and benefiting from a diversity of perspectives and backgrounds. At the same time, you will have significant exposure to partners and teams across the firm, including our People, Communications, Technology, Travel, and Legal teams. This is a permanent role requiring in office presence every day you are scheduled.
As Facility/Office Services Specialist you will perform a variety of administrative activities that collectively contribute to the functionality and appearance of the office.
You will be responsible for maintaining physical space, including supervising external contractors, vendors and suppliers, monitoring contracts for compliance, and performing quality control inspections. You will interface with building management in all aspects of facilities administration. You will be responsible for managing other facility-related areas (e.g. fleet).
You will play a key role in managing conference room bookings and ensuring rooms are furnished, equipped, and functional, including technical equipment like VC systems and printers. You will oversee inventory, reorder supplies, and manage goods and invoices with Finance. Additionally, you will coordinate office repairs with external contractors, ensuring all technology is properly maintained.
As Security Operations Specialist you will manage the overall security portfolio for not only the Kyiv Office but also for Ukraine. This will include managing vendors, providing tactical mitigations, leading incident response, and providing real-time threat updates on the situation. You will also manage building security, including access cards, overseeing occupational safety and health processes, and handling travel and transfer bookings in and out of Ukraine, including traveler security briefings. Additionally, you will maintain satellite devices, manage and recharge generators, and acquire and deploy contingency measures as needed.
You will act as the main point of contact for building management and office vendors, including cleaning, translation, printing, technical services, and security. You will oversee IT supply administration, conduct regular inventories in collaboration with the IT department, and manage taxi suppliers and driver reports. Additionally, you will handle various administrative tasks in coordination with other firm departments.
As Team Leader you will be supervising daily work of Office Services team members, who will report directly to you.
You will report to the Office Services Manager for CE market and the Director of Security Resilience & Europe within the geographic security operations portfolio.
